We are seeking an experienced administrative assistant to be an important part of our fast growing team.
This person will be expected to perform a variety of tasks, help keep long term projects on track, and
handle more urgent requirements. An ideal candidate is responsive, thoughtful, self-directed and positive.
DUTIES AND RESPONSIBILITIES
● Providing administrative assistance to the team leads such as organizing meetings, including
scheduling and sending reminders
● Assisting the recruiting team with interview process deliverables such as candidate greeting, lunch
orders and meeting rooms set up, as well as assisting with keeping the process running smoothly
● Using various software, including word processing, spreadsheets, databases, and presentation
software
● Assisting the office manager with day to day running of the office, including, but not limited to:
○ Welcoming visitors while following our office Covid guidelines and identifying the purpose
of their visit before directing them to the appropriate department
○ Assisting with the Board of Directors meeting process on a quarterly basis. This includes,
restaurant reservations, lunch orders, material preparation and meeting room set up and
equipment testing
○ Performing office duties that include ordering supplies, equipment, snacks for the team
and helping
○ Assisting with events logistics such as catering, venue reservations, decor, invites, etc.,
when necessary
○ Provide general administrative support and other duties as necessary

REQUIREMENTS

  • Proven experience as an administrative assistant or other relevant administrative support
  • Tech savvy, a quick learner, and can execute work autonomously and to a high bar with in-depth understanding of office programs (Excel, Word, PowerPoint)
  • Exceptional ability to organize a daily workload by priorities
  • A proactive approach to problem-solving
  • Has the ability to work collaboratively with all team members and maintain a positive attitude and willingness to assist
  • Excellent professional written a verbal communication skills to effectively and efficiently communicate with various department heads
  • Adaptable/flexible – enjoys doing work that requires frequent shifts in direction and is comfortable multitasking
  • Eager learner with a growth mindset
  • Trustworthy and practices impeccable discretion when handling sensitive information and topics

QUALIFICATIONS

  • Education: High School diploma required
  • Experience: Minimum 2 years of relevant experience required
